What data we collect

If you're a candidate, we may collect: your name, contact details, CV and employment history, qualifications and certifications, right-to-work status, references, salary expectations, and any information you give us directly through our website, email, LinkedIn, or in conversation.

If you're a client contact, we collect your name, job title, company, contact details, and records of our correspondence and any feedback you give us on candidates.

We don't ask for, and would ask you not to send us, sensitive personal data (health information, religious belief, sexual orientation, and similar) unless it's directly relevant to a specific role and you choose to share it.

Where we get it from

Usually directly from you, whether through our website, by email, at interview, or over the phone. We may also source candidate information from job boards, LinkedIn, and referrals, and client contact information from company websites and professional networking sites. Where we obtain your data from a third party, we'll tell you the source the first time we contact you.

Why we process it and our legal basis

We process personal data to:

  • Assess your suitability for roles and introduce candidates to clients
  • Manage our relationship with clients and fulfil recruitment engagements
  • Comply with legal obligations, including right-to-work checks
  • Keep records of our dealings for compliance and dispute purposes
  • Send you relevant roles or market updates, where you've consented to this

We rely on one or more of the following legal bases: performance of a contract with you, our legitimate interest in running a recruitment business, compliance with a legal obligation, and consent (for direct marketing).

Who we share it with

We share candidate information with clients we're introducing you to, and only for that purpose. We may also share data with:

  • Background screening and reference-checking providers
  • IT and data storage providers, including cloud hosting
  • Our professional advisers (legal, accountancy)
  • Regulatory or statutory bodies where required by law

We don't sell personal data to third parties.

International transfers

Because we operate across the UK, US, and Ireland, candidate and client data may be transferred outside the UK in the course of a placement. Where this happens, we take reasonable steps to ensure the receiving party offers an appropriate level of protection.

How long we keep it

We generally retain candidate and client data for 7 years after our last contact with you, to meet our legal, contractual, and record-keeping obligations. If you ask us to delete your data sooner, we will do so unless we have a legal or legitimate business reason to retain it.

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Ask us to delete your data
  • Object to or restrict certain processing
  • Withdraw consent at any time (where consent is our legal basis)
  • Data portability, where applicable

To exercise any of these rights, contact us at lee@cxrecruit.com. If you're not satisfied with our response, you have the right to complain to the Information Commissioner's Office at ico.org.uk.
